As your website grows, it can contain dozens — or even hundreds — of pages, posts, and media files. Knowing how to quickly locate content inside WordPress saves time and reduces frustration.
This guide explains how to search, filter, and navigate efficiently inside the Dashboard.
To find a page:
Click Pages in the left-hand menu
Select All Pages
You will see a list of all pages on your website.
At the top right of the Pages screen, you’ll see a search field.
Type part of the page title and click Search Pages.
This is the fastest way to locate a specific page.
You can click column headers like Title or Date to sort the list.
This helps when:
You remember roughly when something was created
You want pages listed alphabetically
Depending on your setup, you may be able to filter by:
Published
Draft
Scheduled
Private
Trash
If a page seems missing, check the Draft or Trash filter.
To locate a blog post:
Click Posts
Select All Posts
Use the search box at the top right just like you would with Pages.
You can also filter by:
Category
Date
Author
This is helpful if you manage multiple writers or content topics.
To locate images or uploaded files:
Click Media
Choose Library
You can switch between:
Grid view (visual thumbnails)
List view (detailed file information)
Use the search bar in the top right to search by:
File name
Image title
Keywords (if entered)
If you cannot find a file:
Confirm it was uploaded
Check spelling variations
Verify the correct site (if managing multiple websites)
Sometimes the easiest way to find something is from the live website.
If you are logged in:
Navigate to the page on the front end
Click Edit Page in the Admin Toolbar
This takes you directly to the correct editor screen.
This method avoids searching through long lists.
Some websites include advanced search plugins that allow broader searches across:
Pages
Posts
Custom content types
If available, use the global search field in the Dashboard.
If not, use the individual search tools within each section.
If something appears missing:
Go to Pages or Posts
Click the Trash filter
Deleted content is stored in Trash temporarily.
You can restore items from here.
If content does not appear on the live site, check:
Drafts
Scheduled
Private
It may not be published yet.
If you know part of the URL, you can:
Visit the page on the live site
Click Edit Page from the Admin Toolbar
The URL slug often matches the page title.
For example:
yourwebsite.com/about-us
Likely corresponds to a page titled “About Us”
You are searching in the wrong section
Pages and Posts are separate.
The item is still a draft
Check the Draft filter.
The item was deleted
Check Trash.
You do not have permission to see it
Some content types are role-restricted.
Use clear page titles
This makes searching easier later.
Avoid duplicate names
Multiple pages with similar titles can cause confusion.
Delete unused drafts
This keeps lists manageable.
Keep naming consistent
For example, use “Service – Roofing” instead of inconsistent variations.
Think of WordPress like a filing cabinet.
Pages are in one drawer.
Posts are in another.
Media is in a separate file folder.
Searching within the correct drawer makes everything faster.
To find content in WordPress:
